This privacy policy describes what, why, and how we may collect, store, use, and/or process your information when you use our service ("the Service"), including but not limited to when you:

Simplified Policy

We do not sell, or otherwise share your personal information with third-parties. Any information collected is used solely to provide the service to you, except where necessary to comply with mandated legal requirements.

You decide what information you wish to share with us, aside from the technically required data necessary to operate the service.

The safety and privacy of our customers and site visitors is our utmost priority.

1 Information We Collect

We collect information through various methods based on the specific context and purpose, generally falling into the following categories:

All personal information collected by the Service is provided by you as part of the account registration process, or in the course of your usage of the Service.

Information in this category may include, but not be limited to those listed below. For practical reasons it is not possible to provide an exhaustive list.

  • Manually stated location, including locality name and approximation of geographical area only. We do not store personally identifying geolocated data

Where appropriate, exclusively based on your usage of specific features of the Service, where you have freely provided the information, and with your consent we may process the following categories of sensitive information:

  • Sexual orientation
  • Religious preferences
1.2 Technical Data

We automatically collect certain technical data when you interact with the Service.

This data does not reveal your identity (such as your name or contact information) but may include device and usage information, such as:

  • Language preferences

  • Information about how and when you use the Service
1.3 Content Data

Any posts, comments, images, member to member messages, likes, follower lists, or similar data shared by you on the site, is collectively termed Content.

With some exceptions, notably including member to member messages, all Content should be assumed to be visible to all members.

Additionally any Content may be viewed by the operators of the Service in the course of normal maintenance activities.

1.3.1 Posts, Comments, Images

Controls are available to you to partially or wholly restrict the Content dependant on the area of the Service in question.

Whilst controls may be available to restrict visibility and interactions by other members, you should consider whether the Content being shared would cause harm to yourself if shared outside of the Service by any individual who does have legitimate access.

1.3.2 Member Messages

Communications shared specifically with the messaging capabilities of the Service directly with other members operate differently to posts, comments or similar. They are intended to be a unicast conversation, ie. only between sender and recipient.

Message data is automatically removed when both parties have deleted the message, subject to exceptions for legal obligations or for the safety of our members or the wider public.

Member messages may be scanned for the purpose of safety and legal compliance, especially in the case of suspected abuse, self-harm, or illegal activity.

Data from member messages is never used for the purpose of marketing or similar activities.

1.4 Payment Data

At this time, no payments are taken or processed by the Service. Should payments be taken in the future, this privacy policy will be updated accordingly.

1.4 Third-party Data Augmentation

We do not for any purpose obtain, store, or process any third party personal information relating to you. Only information you have chosen to provide is available to us.

2 How Your Information Is Used

The way we use your personal data is dependent on the features that you choose to enable, and how you engage with the Service.

2.1 Interaction With Members

The Service enables you to interact with other members in a number of ways, including connecting, following activities, sending messages, commenting on member posts and comments, and similar.

Your information, subject to your choices, may be used by other members to search for and interact with you with the same or similar actions.

Controls are available to you to selectively limit what actions are available to other members in interacting with you, or where appropriate to block members entirely.

2.3 Sending Of E-mails

We send e-mails for a number of reasons, including but not limited to the following:

  • When you register with our Service as part of the account creation process
  • To facilitate password reset notifications
  • For notification in the event of closing your account
  • Periodic newsletters, where you have opted-in to receive
  • Updates on new features and capability of the service, where you have opted-in to receive
  • Security and essential service notices
    Note: Whilst your account remains open this category may not be opted out of

We may send other e-mails for parts of the service you specifically opt-in to use.

3 Our Bases For Processing Your Information

We process your information on the following legal bases:

  • Vital Interests
3.1 Consent

We may process your information if you have given us consent to enable your use of the Service. You can withdraw your consent at any time.

Certain information is required in order for us to deliver the core of our Service to you, and as such removal of consent will mean we are unable to do so. You may delete your account at any time from within the Service, or by request as described in section Obtaining, Updating And Deleting The Information We Hold On You.

For functionality that is considered optional, you may remove your consent by disabling the specified capability from within your account or profile. This will be considered removal of consent for that functional areas only, and not for the Service as a whole.

3.2 Legitimate Interest

We may contact you where we believe the Service, or other Services provided by DYNOBOTICS may be relevant to you.

We may process your information when we believe it is reasonable in achieving our legitimate business interests and those interests do not outweigh your fundamental rights or privacy. For example, we may process your personal information for the following and similar purposes:

  • To send special offers for the Service, or for third party products or services we believe may be of interest. We will do so in ways that respect your privacy and do not share your personal information to third parties.
  • To support our marketing activities
  • For diagnosing problems and/or preventing fraudulent activities

3.3 Vital Interests

Processing your data may be necessary to protect your vital interests, or those of others. This legal basis is typically invoked when you are physically or legally incapable of giving consent, or where time is of the essence, and consent cannot be obtained in a life-threatening situation. Any action must be reasonable and proportionate.

4 Sharing Of Your Information
4.1 General Information Sharing

Any personal information collected is used solely to provide the service to you. We do not share your personal information with any third party, except where necessary to comply with mandated legal requirements.

4.2 Posts, Comments, Likes, Follows

When you write a post or comment, like existing content, or follow members on the Service, all members can see this activity by default.

Whilst controls are available to you to selectively limit access in most cases, you should assume that posted content is generally visible to all members, except for specified restrictions.

4.3 Sale Of Information

We will never sell your personal information. The sole exception may be in the case of a sale of the Service itself as described in section Change Of Control.

4.4 Change Of Control

In the event of the sale of the Service to another organisation, merger, or other change of control, or as part of the process in preparing for such an event, we may share your personal information with the third party to facilitate the completion of the activity.

Any organisation taking control of the whole or part of the Service will have the right to continue to use the information that has been collected, and your rights under this policy will remain.

The Privacy Policy may then be subject to future change, and you may at your discretion choose to accept any new policy, or delete your account and associated information.

4.5 Member And Public Safety

We prioritize the safety and well-being of our members and the broader public they may interact with or affect.

Personal information may be shared with relevant services in cases of safety or potential harm to the member or others. The disclosure of information will be done in accordance with applicable laws and regulations to ensure the safety and security of individuals involved. See also Vital Interests.

5 Tracking Mechanisms

We may use cookies and similar tracking technologies to access or store information specifically within and for the delivery of the Service. Information about the cookies we use, and how you can refuse non-essential cookies is set out in our Cookie Policy.

We do not track your activities on external services by any means, nor link external activity to your profile within our Service.

6 Data Retention

Data is retained for different durations based upon the purpose of the initial collection and processing requirements.

Across all purposes data is retained only for as long as is necessary, before being deleted, either immediately after action taken by you within the Service, by automated means after the completion of processing, or by written request from you.

Due to the number of data elements managed within the service, it is not possible to give specifics for every data type. This does not impact your rights to data removal as described throughout this policy.

The retention details and timings are given below for the most prominent data elements.

We will respond to written requests regarding specific data elements where it does not impact the security or intellectual property rights relating to the Service.

We reserve the right to retain a copy of any data, notwithstanding the stated retention periods, for as long is necessary where it may be required to protect the Service, our community members, or for legal requirements.

7 How We Keep Your Information Safe

We encrypt all data sent across the Internet and take necessary precautions across our systems to identify, and to proactively mitigate and defend against a wide variety of cyber threats.

We're realists, and it is not possible to provide a guarantee relating to information security, especially when providing services that are connected via the Internet. We do however take our responsibility seriously, follow best practices, and apply a defence-in-depth approach.

8 Children's Privacy Protection

The Service is suitable for persons of 18 years and above. No person under this age should register for an account, or attempt to make use of the service. Any account breaching this restriction will be immediately removed.

We do not knowingly collect, store, or process information related to any person under the age of 18.

9 Your Rights Over The Information We Hold

You have the right to remove content you have shared, your personal information, and to delete your account. The data retention of key areas of data we hold is described in the section Data Retention.

10 International Privacy Rights (non-UK & EU)

This Privacy Policy provides details in general for how we store and process your data, and how we comply primarily with the UK Data Protection Act 2018 (DPA), and General Data Protection Regulation (GDPR) applicable to the European Union (EU) and European Economic Area (EEA) in which we are the Data Processor and you are the Data Controller of your own personal information.

Your personal information is stored within the UK and/or EU between which there are data adequacy provisions that enable for this data transfer.

Where you are located in any region outside of those boundaries, your data may still be subject to transmission to your device in your region to facilitate your access to the Service. All communication is encrypted across the Internet.

11 Third Party Services And Web-Sites
11.1 Links to Third Party Web-Sites

Where we provide links to web-sites of other organisations, this privacy notice does not cover how that organisation processes personal information. We encourage you to read the privacy notices on any third party web-site you visit.

The same shall apply for any links to third party sites shared by other members of the Service.

11.2 Third Party Services
11.2.1 Mapping & Geocoding Providers

We use third party providers for mapping and geocoding services. We do not directly share any personally information or data that may personally identify you or your specific location.

When you visit a page within our Service that has mapping capabilities, your web-browser may communicate directly with the mapping provider. We do not control the information sent by your device or browser to such a provider.

11.2.2 E-mail Providers

In order to send e-mails to you, we may share the following information via a third party provider:

  • First (given) and Last (family) names; shared as part of a qualified e-mail address
  • E-mail address
12 Updates To The Privacy Policy

We may modify this Privacy Policy from time to time as needed. Where there are material changes that may affect you we will provide notification to you prior to their taking effect.

If you do not agree to the changes, you have the right to delete your account, and all personal information will be removed as described in Your Rights Over The Information We Hold.

Your continued use of the Service after we publish or notify you about any changes to this policy means that you continue to accept the terms within as of its effective date.

13 Obtaining, Updating And Deleting The Information We Hold On You

You may update, or delete your information at any time by logging in to the Service and navigating to Account Settings. You may also delete your account from here.

Additional personal details collectively referred to as your Profile, can be modified or removed by accessing the Profile section.

To request a copy of the personal data we hold, to update, or delete your information, please contact us as described in section Contacting Us Regarding This Policy.

We will ask you to verify your identity before responding to your request.

Certain information may need to be retained in order to comply with legal or financial obligations, or other lawful basis.
